Getting Started
with Tags

Learn what a tag is, how to add tags to one contact or many at once, how to find contacts with tags using Smart Lists, and how to build your own full tag system with the interactive Tag Builder.

What you'll learn

Common Use Cases

Once you understand tags, here's what you can start doing with your contacts right away.

🏷️

Organize Your Contact List

Group your contacts clearly so you can find who you need in seconds instead of scrolling through everyone.

🔍

Build Smart Lists That Update

Create a Smart List, like everyone tagged "follow-up," that stays current automatically as tags change.

💬

Message The Right People

Send an email or text to only the contacts who should get it, based on the tags they carry.

⚙️

Start Workflows From Tags

Trigger a workflow the moment a tag is added or removed, so follow-up happens automatically.

Key definitions

Terms worth knowing

A label you put on a contact. It helps you group contacts so you can find them fast and take action, like sending a message, building a Smart List, or starting a workflow.
A saved filter, such as "Tag is follow-up," that pulls up the matching contacts on demand and can be saved so it's ready to use again any time.
A way to apply a change, like adding a tag, to several selected contacts at once instead of doing it one contact at a time.
An interactive tool that helps you build a full tag system for your contacts across six categories, so you can organize your list, build Smart Lists, message the right people, and start workflows.
A tag that answers one question: what needs to happen next with this contact. Examples include follow-up needed, follow-up scheduled, and follow-up completed.
A tag that answers where a contact came from, like Facebook Ad, Google Search, Referral, or QR Code, so you can see which marketing is working.
"Tags are not just labels. Tags are instructions. They tell the software what to do next."
How it works

Adding, Finding, And Building Your Tag System

Add a tag right from the contact record

Open any contact and look for the small plus sign that says Add a Tag. Select it, then search for a tag that already exists and click it, or type a brand new tag name. If it doesn't exist yet, you'll be asked if you want to create it. A single contact can carry as many tags as you need, and every tag you add shows up right there on the record.

Add tags to several contacts at once

From your contact list, check the box next to each contact you want to tag, then click the Add a Tag button. Give the bulk action a name, choose or type the tag, and add it. The addition runs in the background and you can check its progress in your bulk actions area. Once it's complete, every contact you selected carries that tag.

Use Smart Lists to pull up tagged contacts

Open Smart Lists and create an advanced filter using Tag Is, then choose the tag you're looking for, like follow-up, and apply it. Every contact with that tag appears instantly. Save the filter as a new Smart List with its own name so it's ready to use again any time, without rebuilding the filter from scratch.

Manage every tag from Settings

Go to Settings, scroll down, and select Tags. This is where every tag you've created is listed. You can select an individual tag or select all of them, then delete the ones you no longer need, typing delete to confirm. Deleting a tag removes it from every contact that has it. To simply rename a tag instead, click the pencil icon, update the name, and every contact carrying that tag updates automatically.

Six categories, one tag system

The interactive Tag Builder splits your tag system into six categories: Follow-Up Status, Communication Preference, Engagement and Activity, Lead and Client Status, Products and Services, and Source and Advertising. Each category shows suggested tags, a box to type your own, a running list of the tags you've chosen, and real examples of how to use them. Click a suggested tag or type your own, then move to the next category.

Export and keep your list clean

At the bottom of the Tag Builder, you'll see the total tags you've created, with the option to copy them all or download a CSV. Aim for 10 to 25 tags to start, that's plenty. Export the list, then go into your software's Settings and Tags area to add them in, so every tag you planned is ready to use on real contacts.

Tips

Worth remembering

  • Start simple. Pick 10 to 20 tags from your tag plan and add those first, you can always add more later.
  • Follow the one rule of tags: if a tag doesn't help you send a better message, start or stop a workflow, or build a Smart List, you probably don't need it.
  • Deleting a tag in Settings removes it from every contact that has it. If you just want different wording, rename the tag instead of deleting it.
  • Combine tags to upsell and cross-sell, like finding contacts tagged plumbing but not heating and air, so you know exactly who to reach with a related offer.
  • Keep a clean tag list, share it with your team, and store it somewhere your whole company can reference so everyone tags contacts the same way.
