Learn how to select a group of contacts and act on all of them at once, from sending SMS and email to requesting reviews and triggering an automation, then track every job on the Bulk Actions page.
Once you're comfortable with bulk actions, here's what you can start doing right away.
Choose everyone on the current page, or select all contacts that match a smart list, so you know exactly who a bulk action will reach.
Send a bulk SMS, email, or WhatsApp message to a whole list instead of messaging people one at a time.
Add tags, update opportunities, or trigger an automation for an entire list in a single action.
Check the Bulk Actions page any time to see the status, statistics, and details of every bulk job you've run.
From your smart list view, select the contacts you want to include. You can check individual contacts, select everyone on the current page, or select all contacts that match the list, even if that's thousands of records beyond the page you're looking at. If you have 10,000 contacts but only select the first page, you'll see the page count selected rather than "select all." Once you check even one box, your bulk action options appear.
With contacts selected, you can export them to a CSV, send a bulk email, send a bulk SMS, send a WhatsApp message, or send a review request by SMS, email, or WhatsApp. Each one starts by asking for an action name, then lets you build the message, choose a from name and address for email, add a subject and preheader, and set tracking options like click tracking and UTM parameters. Always send yourself a test email first, and before sending anything in bulk you must confirm the contacts have consented to hear from you and have been contacted within the past year, and that the list isn't from a third party.
Every messaging or automation action gives you three sending options: all at once, at a scheduled time, or in a drip mode. Drip mode lets you pick a number of messages per batch and a repeat interval in days, hours, or minutes, plus which days of the week to send on. If your automation includes texts or emails going to contacts, use a drip mode rather than sending everything at once, so you don't overwhelm your sending reputation. A common approach is a set number of messages every hour or two, skipping weekends, until the full list has gone out.
You can add a tag or remove a tag from every selected contact, move a group into a specific pipeline and stage under Manage Opportunities, update custom fields in bulk, manage which company contacts belong to, merge duplicate contacts, or delete contacts entirely. Trigger An Automation works the same way: name the action, choose the automation type and specific workflow, then send everyone into it all at once, on a schedule, or in a drip.
Every bulk action you run shows up on the Bulk Actions page in a table with the action, status, who created it, when it completed, statistics, and available actions. Statuses include processing, completed, paused, canceled, and queued. Select the statistics icon on any row to see success and error counts with identifiers, or select view details to see the ID, type, action label, and parent bulk ID. You can filter the whole page by date, status, or action type to find a specific job quickly.
